Retention: 1 year from receipt, after which the message is deleted automatically; if the enquiry leads to a contract, the data is processed with the contractual records as described in section 6.
5. Client portal (registration by invitation)
The client portal can only be joined by invitation. Our staff member sends the invitation to an e-mail address known to us from the engagement; we therefore obtain that address from our own records rather than directly from you, solely to send the invitation.
- Invitation: e-mail address, the cases invited to, the invitation identifier (stored only as a hash) and its expiry. Invitations are valid for 7 days; expired invitations are deleted after 30 days.
- Account: name, e-mail address (your login ID), password (stored only as an irreversible hash), time of last login, and the cases assigned to you.
- Documents: documents shared with you in connection with the engagement (e.g. property documents), which may contain personal data. Documents are uploaded by our staff; you can only view them.
- Login code: at every login we e-mail you a 6-digit code, valid for 10 minutes, to confirm your identity (two-step verification). The code is stored only as a hash and removed after expiry.
- Logging: we record logins and failed attempts, document views (who, when, which document), and changes to access and accounts, together with the IP address. Purpose: security of documents, detecting unauthorised access, accountability. Legal basis: legitimate interest (Art. 6(1)(f) GDPR). Retention: 1 year.
- Watermark: while you view a document, every page shows a watermark with your name, e-mail address and the time. This prevents and allows tracing of unauthorised forwarding of confidential documents (legitimate interest). The original, un-watermarked file is never released.
The legal basis for operating the portal is performance of your engagement and steps prior to it (Art. 6(1)(b) GDPR). Your account is deleted within 90 days after the engagement ends, or earlier on request. Documents are kept for 5 years after the engagement ends (civil-law limitation period; establishment, exercise and defence of legal claims, Art. 6(1)(f)), or longer where the law requires.
